Reporting directly to the Vice President of Philanthropy, this position will provide support to the development department and communicate with Cincinnati Ballet’s donor base. The Donor Relations Manager will have the ability to work independently on projects and must be able to execute a wide variety of activities and confidential matters with discretion.
This position requires the ability to collaborate with staff, dancers, the Board of Trustees, and donors in a fast-paced environment, sometimes under pressure. Remaining flexible, proactive, resourceful, and efficient, with a high level of professionalism and confidentiality is crucial to this role.

Interaction

The Donor Relations Manager is a public-facing position with a degree of interactivity with donors, the Board of Trustees, and the public. This position also interacts with all departments including Administration, Artistic, Academy, Production, Dancers, Development, and Marketing.

The Donor Relations Manager must be able to plan and prioritize work to meet deadlines and promptly support personnel. Punctuality is essential for the fulfillment of programmatic responsibilities.

Essential Duties and Responsibilities

  • Serves as the HIVE project manager super user for the development team utilizing the software to maximize the team’s effectiveness and collaboration with other departments including submission of all forms and marketing collateral.
  • Assist the development department in the timely management of all interactions, both written and via email and telephone.
  • Oversee communication with donors and internal departments to fulfill benefits unique to agreements and giving levels including collection and submission of production program sponsor ads, social media posts, curtain speeches, print and digital signage, behind-the-scenes experiences, ticketing requests, donor listings/logos.
  • Develop annual stewardship plan including drafting of acknowledgment letters, impact reports, benefits collateral, the timing of public announcements of awards, and invitations to donor events.
  • Leads stewardship efforts such as thank-a-thons by coordinating logistics including volunteers, catering, technology, and materials.
  • Track and enter all donations in Tessitura database.
  • Manage upkeep of all donor records including naming preferences, birthdays, contact information change requests, and other types of donor record maintenance.
  • Record complex donor agreements.
  • Administer acknowledgment letters, invoices, invoicing reminders, donor greeting cards, benefits, recognition, and payment plans according to donor specifications.
  • Maintain electronic donor files.
  • Build and distribute annual donor tax letter.
  • Coordinate development team performance staffing.
  • Creator of the quarterly donor e-newsletter Éleve and advance casting notifications.
  • Prepare materials, distribute follow-up assignments, and calendaring for key internal meetings.
  • Arrange accurate development reports and lists utilizing Tessitura database.
  • Participate in donor cultivation events, donor lounge, and Signature Events by managing pre-event needs, day of duties, and post-event evaluation. Tasks could include check-in processes, RSVP tracking, mailing of invitations, passes and drink tickets, and dietary preference notes.

  • Knowledge and experience with rules of etiquette, decorum, and courtesy.
  • Familiarity with marketing, development, and fundraising efforts preferred.
  • Experience in Tessitura is a plus.
  • Experience in HIVE project management software is a plus.
  • A background in and passion for dance is a plus.

Experience and Education Required

  • 2+ years of professional experience preferred.
  • Bachelor’s degree or equivalent certification preferred.

Expected Work Hours and Travel

  • Must be able to work a highly flexible schedule including weekends and some evenings depending on events and performance schedule. Hours change seasonally.
  • Travel may occur occasionally to attend conferences, events, or donor meetings.
