Job Summary:

Responsible for the management of the scholarship life cycle process utilizing the organizational software for all new and renewing scholarship applicants/recipients. Also responsible for managing the CRM system for all donor gifts to the organization. Requires working with scholarship donors, schools and post-secondary educational institutions, and scholarship applicants and recipients.

Job Responsibilities:

  • Manages and oversees the scholarship life cycle process.
    • Works with the Foundant Technology Scholarship Life Cycle software program in performing the following tasks:
      • Manages the on-line annual application process which includes communication with applicants.
      • Primary person responsible for ensuring on-line application is current and includes questions that assists in matching applicants to scholarship eligibility criteria.
      • Works with President in the scholarship award process with the Scholarship Selection Committee of the CSF Board of Directors.
      • Point person with Foundant Technologies re: software.
      • Communicates with universities and colleges re: recipients’ awards, payment issues and other needed communication.
      • Makes scholarship award payments to colleges and universities.
      • Sends award notification and student renewal information to scholarship donors that includes recipient thank you notes and previous term grades.
      • Notifies high schools of scholarship awardees.
      • Maintains all communication as needed with applicants, recipients, donors, high schools, colleges and universities.
  • Manages and oversees the CSF CRM process:
    • Works with the Foundant Technology Community Suite software program in performing the following tasks:
      • Creates new donor records and maintains existing ones.
      • Records all donor gifts into the CRM system and sending our gift receipt e-mails and letters including but not limited to gifts made to scholarship funds, endowments and annual fund, foundation gifts, pledges and scholarship fund event revenue.
      • Assists with updating gift receipt e-mails and letters and segmenting accordingly.
    • Works with team, volunteers and CSF Board members in event implementation.
  • Other duties as assigned by President

Skills and Qualifications

  • Must have excellent computer skills and the ability to transfer technology skill set across software programs.
  • Exceptional skills with Microsoft 365 including Outlook, Word and Excel.
  • Minimum of 3 years of experience working with databases.
  • Strong written and oral communication skills.
  • Detail oriented, multi-tasking ability, strong organizational and problem-solving skills.
  • Position requires high integrity of being honest, ethical and confidential.
  • Able to work in a professional manner with CSF stakeholders (students, parents, high schools, universities, donors, board members, community partners).
  • Willingness to be flexible with job duties because we are a small team and we often have to pitch in and help each other with tasks that are not necessarily in our job description.
  • Able to periodically work at CSF related events, such as Open House, Past Recipient Events, events where CSF is a sponsor – may require a few evenings and weekends annually.

Physical Requirements / Work Environments:
This position requires flexibility and organizational skills, written and oral communication skills; the ability to adapt to various situations, critical and creative decision-making abilities. Must be able to sit, stand and lift and walk up stairs. Occasional lifting of boxes.
