Job Title: Development Data Coordinator
Purpose: The Development Coordinator is responsible for accurate maintenance, management, and reporting of donor data to support fundraising efforts at La Soupe. This position supports donor data entry and reporting, donation processing, basic grants tracking, and administrative tasks related to development. The ideal candidate will be detail-oriented, organized, and eager to contribute to a mission-driven organization in a support capacity.
Key Responsibilities:
Donation Processing & Stewardship
- Accurately process and record donations (checks, online gifts, ACH transfers)
- Prepare, print, and mail acknowledgment letters to donors
- Assists with reconciling finances on a monthly and annual basis with the accounting department, Donor CRM & Data Management
- Enter and manage donor and gift data into our current donor CRM – Little Green Light
- Implement and monitor data entry protocols to maintain consistency and accuracy across records
- Generate weekly internal reports for the Philanthropy Team
- Assist in dashboard reporting and tracking donor touchpoints
- Conduct regular data audits and record maintenance to improve data quality
- Lead exploration of alternative CRM options for future upgrades in FY27 Administrative Support
- Collaborate with the Accountant to reconcile gifts in QuickBooks Online and ensure alignment between systems
- Manage invoicing for the philanthropy department through QuickBooks Online
- Assist with donor mailings, donor communications, and phone support
- Provide administrative support for fundraising campaigns and events, Grants Support
- Coordinate with Grants & Foundations Manager on potential funder outreach
- Help track deadlines, maintain grant calendars, and prepare supporting materials for grant submissions and reporting requirements
- Reimbursement grant documentation
- Ensure timely submission of grant materials in the required platforms
Ideal Candidate:
- Team-oriented professional with the ability to work independently
- Ability to quickly adopt new technologies. Experience with donor CRMs is a plus.
- Proficiency in managing CRMs, Microsoft Excel, Google Workspace, and Asana (or other project management platforms)
- Keen attention to detail and data accuracy
- Excellent writing and communication skills
- Adheres to data privacy policies
- Project management skills
- Ability to handle routine clerical and administrative tasks
- Comfortable working in a small, collaborative, mission-driven team with a diverse personality types
Compensation & Benefits:
- Salary range: $45 – $48k
- Full-time, exempt (40 hours per week)
